Nonprofit Budget Against Actual with Restricted Funds, Excel
A budget workbook for a nonprofit that has to track two splits at once: how much of its spending is restricted by a funder versus unrestricted, and how much falls into program services, management and general, and fundraising for the annual report. Enter the budget and the monthly actual once for each line, and both splits work themselves out.

What it looks like
What it does
What you get
Seven connected worksheets in one Excel file:
- Start Here - What each sheet does, the steps in order, and how to open the file in Google Sheets.
- Dashboard - Total budget, total actual, the variance, the functional split, the restricted and unrestricted split, and spend by program. Every figure is a formula.
- Budget Lines - One row per budget line, with the category, the program, whether the money is restricted or unrestricted, the annual budget, and a percentage split across program, management and fundraising. A check column turns red when the split does not add to 100 percent.
- Monthly Actuals - Twelve months of actual spending per line, with a row total. Budget Lines adds this sheet up by name, so either sheet sorts safely.
- Programs - Each program with a short description, its budget, its actual spend, and the variance.
- Functional Expenses - The category by function table in the shape used on the annual report, with a total row and the restricted versus unrestricted totals beside it, set up to print on one page.
- Lists - Both dropdown lists on one page, read from the sheets that own them.
Set the annual budget, the restricted or unrestricted tag, and the percentage split once for each line, then update Monthly Actuals as spending happens through the year. The formulas were built against Excel 2016 and import into Google Sheets without changes.
Who it is for
A bookkeeper, an executive director, or a part time finance volunteer at a nonprofit with one to three people touching the budget, a small number of named programs, and an annual budget in the low hundreds of thousands of dollars.
What it is not
This is not accounting software and it does not replace a general ledger. It does not connect to a bank account or a payroll system, and it does not file anything with a tax authority. It does not decide how to split a cost between program, management and fundraising, and it does not decide which of your funds are restricted either: those are judgments your accountant or your board makes, and this workbook gives them one place to be recorded and printed in the shape an annual report uses. You still enter every budget line, every month of spending, and every tag and percentage split by hand.
