What it looks like

Cover of HVAC and Plumbing Service Call and Invoice Log, Excel
The Invoice Status sheet, counting calls and totaling their value at each invoice stage, showing what is still unbilled, what is billed but unpaid, and the average number of days from a call to its invoice.
The Call Log, one row per service call: the call date, a call number, the customer or property, the technician, the call type from Diagnostic through Emergency to Warranty, the invoice status with the not invoiced rows picked out in red, and the invoice total worked out for each call.

What it does

What you get

  • An Excel workbook with five working sheets: Setup, Call Log, Invoice Status, Technician Summary and Monthly Summary.
  • A two hundred row call log that keeps labor, parts and a trip charge apart on every call, with the labor rate chosen by rate type.
  • Space on every call to note the work performed and the equipment or unit, so a technician can find it fast when the same unit fails again.
  • Sales tax that follows a whole invoice or parts only rule, set once on Setup.
  • An invoice status column with four states, so a call that is not yet billed does not get lost.
  • A technician summary that counts calls, hours, charges and callbacks for up to eight technicians.
  • A twelve month roll up of calls, labor, parts, invoiced and collected amounts.
  • About thirty five sample calls already filled in, across eight technicians, four invoice statuses and three rate types.
  • A Start Here guide with the numbered steps and the Google Sheets import.

Who it is for

  • An HVAC or plumbing shop with two to six technicians running service calls and small jobs.
  • A shop owner who currently tracks parts and invoice status across paper tickets or a text thread.
  • Not a fit for a shop dispatching more than a few hundred calls a month; the Call Log holds two hundred rows.

What it is not

  • It does not print an invoice. There is no invoice page to hand a customer. This logs the calls, works out what each one is worth, and tracks the invoice you raise elsewhere from unbilled through to paid.
  • Not invoicing software. It records what you already billed; it does not send an invoice or take a payment.
  • Not accounting software. It does not post to a ledger or touch your bank account.
  • No dispatch or scheduling. It records a call after it happens; it does not assign or route a technician.
  • No macros and no add ins. It is a plain workbook, which is why it opens in Google Sheets.
