What it looks like

Cover of Handyman Job Tracker and Quote Template, Excel and Google Sheets
Summary dashboard showing 12 jobs by status, a twelve month hours and billed table totaling $4,496.50, and all four finished jobs still unpaid, from Maple Avenue Residence at 33 days outstanding to Hemlock Residence at 3, the oldest row highlighted in pink.
Jobs sheet with the sample-data setup note printing in full across three lines above the header, twelve sample jobs, pale yellow input cells beside plain white formula columns for Parts Cost and Job Total, and the Maple Avenue Residence row highlighted red for a finished job unpaid more than 30 days. The printed page ends at Job Total; Invoiced Date through Margin stay on screen only.

What it does

What you get

Five connected sheets, plus a Start Here guide:

  • Jobs - every job in one row: job number, client, address, job description, status, quoted amount, parts cost, hours, hourly rate, job total, invoiced date, invoiced amount, paid date, billed amount, notes, and margin.
  • Quote Sheet - a printable one page quote for a single job, chosen from a panel that does not print, with client, address, description, and either the quoted total or a materials and labor build up, filled in for you. A job with nothing quoted or logged yet leaves the price block blank.
  • Parts - a log of parts and materials purchases, each one linked to a job number with a receipt reference.
  • Summary - jobs by status, a twelve month hours and billed table, and a list of up to twenty finished jobs that are still unpaid with the number of days outstanding.

You add a row on the Jobs sheet when you take on a job, log purchases on the Parts sheet as you buy them, and print a quote from the Quote Sheet when the client needs one. Parts Cost, Job Total, Billed Amount, and Margin calculate themselves from what you enter.

Twelve sample jobs across two months are already filled in, so you can see every formula working with real numbers before you clear the rows and start your own log. The Jobs sheet holds 300 rows and the Parts sheet holds 600, so a solo operator will not run out for years.

Who it is for

A solo handyman or a small repairs crew of two to six people who currently tracks jobs on paper, in scattered notes, or not at all. It is not built for a company running many jobs open at once with several people invoicing at the same time, since only one person edits the file at once.

What it is not

This is not accounting software and does not connect to your bank, card reader, or invoicing service. It does not send a quote or an invoice for you; you print the Quote Sheet or save it as a PDF and send it yourself. It does not calculate sales tax, does not add a markup to materials, does not build itemized bids, and does not track mileage. It assumes one hourly labor rate and does not handle call out fees or minimum charges. There is no setup tab and no price book: it is a small, single-purpose file for one job list and one printed quote, not a full estimating system. You still keep your own calendar and your own tax records. It is a spreadsheet and a guide, nothing more.
