What it does

What you get

Seven connected worksheets in one Excel file:

  • Start Here - What each sheet does, the steps in order, and how to open the file in Google Sheets.
  • Dashboard - Stock counts, the value of stock on hand, and what needs attention, with a chart of items by stock status. Every figure works itself out.
  • Inventory - One row per supply item, with a par level, a reorder point, quantity on hand, unit cost, storage location and expiry date.
  • Order List - One row per supplier, with how many items need ordering and roughly what it will cost.
  • Suppliers - Contact role, phone, email, account number and ordering method for each supplier.
  • Usage Log - One row per time an item was used, so recent usage stays on record.
  • Lists - The words the dropdowns use, so everyone on staff records them the same way.

Set a par level and a reorder point once for each item, and the Inventory sheet works out the rest: which items have dropped below their reorder point, which have run out, which are expiring within ninety days, and what each supplier needs shipped next. The formulas were built against Excel 2016 and use only functions that behave the same way in Google Sheets, so the file imports and keeps working.

Who it is for

A dental practice, a medical clinic, or a small group practice with one central supply room and one to a few staff members reordering items. The workbook has room for about sixty supply line items before it needs to be extended. A hospital department running its own procurement system, or a multi location group ordering through a central buyer, has outgrown what a spreadsheet like this is built for.

What it is not

This is not inventory management software and it does not connect to a supplier's ordering portal or place an order for you. It carries no patient information anywhere: there is no field for a patient name, a date of birth, a record number, a diagnosis, or a treatment note, only a room number or a cupboard name for where an item is stored. It does not record which staff member handled which patient, only the role of whoever logged a usage entry. It is not a scheduling tool and it does not manage staff hours. You still have to count what is on the shelf, place the order, and keep the sheet up to date; nothing here reorders itself.
