What it does

What you get

Seven connected worksheets, plus a printable PDF:

  • Start Here - what each sheet does, the steps in order, and how to open the file in Google Sheets.
  • Dashboard - counts and a percentage worked out from the other sheets, once the client name and the start date are typed in.
  • Onboarding Checklist - one row per task across four phases, with a due date, a status, an overdue or blocked flag, and a count of access items still outstanding in the category that phase is waiting on.
  • Access and Assets - one row per login, account or brand file needed, with the date requested, the date it arrived, a flag for anything waiting over seven days, and a role picked from the Stakeholders sheet.
  • Stakeholders - one row per role, client and agency side, naming who decides what and who holds final sign off.
  • Kickoff Agenda - a printable ninety minute agenda, grouped by section, with the minutes added up.
  • Lists - the dropdown vocabulary the other sheets use.
  • onboarding-checklist.pdf - a shortened, one page version of the phase checklist, eighteen items instead of the workbook's twenty eight, for a clipboard or a wall.

Copy the workbook for each new client, fill in the client name and the start date, then work through the checklist and the access list together. Print the PDF for the kickoff itself, or check off the same items on screen instead.

Who it is for

An account manager or an operations lead at a small or mid sized agency who has just signed a new client and wants the first month organized before the work starts. It suits an account team of two to six people. A larger agency with its own onboarding team and an intake system has likely already solved this.

What it is not

This is a spreadsheet and a PDF, not a project management tool. It does not assign a task to a person, send a reminder, or notify anyone when access has been waiting a week: the color changes when the file is opened, and someone still has to look. The checklist and the access list are meant to be edited: add or remove rows, rename a phase if your process runs in three stages instead of four, rename a role, or add a column this list does not name. The four phases and the sample rows are a starting shape, not a fixed process. If your agency already runs onboarding inside a tool with assignments and reminders built in, keep using it: this file is for the account that wants the checklist and the access log written down in one place, alongside that tool or before you have one.
